If an international payment didn’t arrive, find the last step that you know went through, get the reference number for that step, and ask whoever handles the next step to look into it. Don’t send the money again until you know whether the first payment failed, is still on its way, already arrived, or is being sent back.
In short
- Find the last step that went through. A status on a screen is not enough by itself.
- A bank payment and a stablecoin transfer each have their own reference. Keep them apart.
- Check that the money reached the other side before you mark an invoice paid or send it again.
- In Bancoli, you can open each payment in Payments or Activity to see its status.
How do you trace a missing international payment?
Start with the last step you can prove, then ask about the next one. Keep three things apart: you asked for the payment to be sent, the payment moved through the bank or stablecoin network, and the money landed in the other person’s account.
Follow these steps:
- Check where the money should land. Is the supplier expecting it in a bank account or a wallet, and in which currency?
- Find your original payment. Write down the payment ID, who it was for, the amount, the currency, and the date and time, with the time zone.
- Split it into steps. A stablecoin transfer, a currency conversion and a bank payout are separate steps. Look at each one on its own.
- Get the right reference. In Bancoli, go to Payments or Activity and open the transaction. For a bank payout, note the bank reference. For a stablecoin transfer, note the transfer link from your wallet history, the network and the coin. If you can’t find the reference you need, contact Bancoli support.
- Confirm the last step that finished. Ask what the status means and what shows it.
- Ask the right provider to trace it. If the payment went out from Bancoli, contact Bancoli support. Share the payment reference, the invoice number and, for a stablecoin transfer, the transfer link, the network and the coin. If the problem is the money reaching your supplier’s bank, include the bank reference too.
If you use Bancoli, your Smart USD Wallet holds Smart USD, which is your eligible USDC, USDi and USDT, all fully backed, shown as one dollar balance. It is not a deposit and is not FDIC-insured. You control your funds. Bancoli does not own or control them. A transfer out of your wallet on its own does not show that a supplier got paid in their local currency. When you pay suppliers abroad, Bancoli offers free FX in 25+ currencies when you pay out.
Why this matters
Your supplier needs to see a payment they can match. Your finance team needs to know the bill is really paid.
A payment confirmation does not always mean the money reached the other person. Check what the confirmation actually says before you send it as proof.
Ask these questions one at a time:
- Did you approve the payment?
- Did the provider send it out?
- Did the other bank or wallet receive it and add it to the account?
- Can the supplier match it to the right invoice?
That way you don’t stop looking just because a screen says “sent”. If the payment is still moving, keep in mind that time zones, bank holidays and extra checks can slow it down.
Which reference traces each step?
Use the reference that matches how the money moved. An invoice number helps the supplier match the payment, but it can’t be used to trace it.
| Step | Reference to ask for | What it shows | What it doesn’t show |
|---|---|---|---|
| ACH payment (to a US bank account) | The ACH trace number. If you can’t find it, contact Bancoli support | Which ACH payment it was | That the money reached the supplier’s account |
| RTP payment (to a US bank account) | The bank reference for the payment | That the payment was sent on RTP. An RTP payment is final once it is sent | That the supplier matched it to the right invoice |
| Local payout (paying a supplier abroad in their currency) | The bank reference for the payout | Which payout it was, so the supplier’s bank can look it up | That the supplier’s bank has added it to their account |
| Stablecoin transfer | The transfer link from your wallet history, plus the network and the coin | That the transfer happened on that network | That a separate bank payout is done, or that the supplier matched it |
Give your supplier the reference for the last step, and ask them to check it with their bank. The transfer link from your wallet helps trace the wallet transfer. It doesn’t replace a bank reference.
If a stablecoin payment is being turned into local currency, see why stablecoin settlement can pause. It walks through each step on that path.
Failed, pending or returned: how to tell
Each word means something different, and each one needs a different next step.
- Pending or in progress. The payment is still moving, or it is waiting for a check. If you are asked for more information, that doesn’t mean the payment failed. Send what is asked for. In Bancoli, if a payment still says In Progress more than 2 business days after the scheduled date, contact Bancoli support.
- Rejected. The payment was stopped before it was accepted. This usually happens because of a clear mistake, like a wrong account number or bank code.
- Returned. The payment reached the other side, but the receiving bank sent it back. Common reasons are a name that doesn’t match the account, or an account that is closed. A return takes longer than a rejection, because the money has to travel back.
- Failed, in Bancoli. If a bank rejects or returns a payout, Bancoli shows the payout as failed and starts the return process. When the money comes back depends on when the receiving partner returns it. A failed payout doesn’t undo a stablecoin transfer that came before it.
- Received. Your supplier confirms the money arrived, and matches it to the reference and the invoice.
When is it safe to send the payment again?
Only when you know what happened to the first one. Sending again too early can mean you pay twice.
Wait if:
- The first payment is still pending, in progress or under review.
- You have asked for a trace and haven’t heard back.
- Your supplier simply says they can’t see it yet.
It is usually safe to send again when:
- The first payment shows as failed or returned, and
- You know why it failed, and you have fixed it. For example, you corrected the account number or the name, and
- You know where the money from the first payment is, or that it is on its way back to you.
Before you send it again:
- Check the supplier’s bank details with them by phone, on a number you already had. Don’t rely only on an email.
- Write down what happened to the first payment and who approved the new one. Keep both records with the same invoice.
- Watch for the first payment to come back, so it is easy to match.
If money went to the wrong account, sending it again won’t fix that. Contact Bancoli support right away. A payment that has already landed is hard to pull back, and an RTP payment is final once it is sent.
Once the money arrives, match it to the invoice. Our guide to matching stablecoin receipts to invoices shows what to record.

FAQ
How long should I wait before I start tracing a payment?
Check the status first. In Bancoli, open the payment in Payments or Activity. If it still says In Progress more than 2 business days after the scheduled date, contact Bancoli support.
My stablecoin transfer finished. Does that mean my supplier was paid?
Not always. A finished transfer shows the money left your wallet. If the money is being turned into local currency, the conversion and the bank payout each need their own check.
My payout failed. Do I get the money back?
If a bank rejects or returns a payout, Bancoli shows it as failed and starts the return process. The timing depends on when the receiving partner sends the money back. Find out what needs to change before you send it again.
Can I cancel a payment after I send it?
Often you can’t. An RTP payment is final once it is sent, and a stablecoin transfer can’t be pulled back by canceling an invoice. If you sent money by mistake, contact Bancoli support right away.
