Every business needs a clear answer to one question. Who is allowed to move our money?

In a Bancoli Smart USD Wallet, the answer is set when you set up the wallet. It is not set by how many people have a Bancoli login. That surprises some teams, so it is worth planning on day one.

This guide shows how wallet access works, how to choose the right people, and how to keep those logins safe. You control your funds. Bancoli does not own or control them. The day to day still feels like a normal business account: balances, approvals, and clear status.

New to the basics? Start with What Is a Smart Wallet?. It explains the receive, approve, settle habit this post builds on.

Bancoli logins and wallet access are two different things

Your company can give many people a Bancoli business login. That is useful for daily work. But a Bancoli login alone does not let someone move Smart Wallet funds.

Moving money needs wallet access. Wallet access is a separate set of logins that you choose during wallet setup.

So there are two layers:

Layer What it is for Who has it
Bancoli business login The dashboard, compliance steps, and feature access The people you invite to your Bancoli account
Wallet access Approving moves of Smart Wallet funds Only the people who hold the wallet logins you set up

If only a few named people have wallet access, only they can move funds. That stays true even if twenty people have Bancoli seats.

How wallet access works, in plain words

Here is the short version.

  1. An owner turns the wallet on. An authorized account owner starts wallet setup. The team cannot use wallet balances and transfers until this is done.
  2. You pick at least two social logins. Wallet access uses at least two social logins over single sign-on (SSO). You choose from Google, Apple, X, or Telegram during wallet setup.
  3. Keep them separate from your Bancoli login. The wallet logins do not have to match your Bancoli business login. It is better if they are different.
  4. Moving money needs a real yes. Approvals use MFA (for example a code from an authenticator app) or a passkey on the device.
  5. Only wallet access moves money. People without wallet access cannot approve a move, even with a Bancoli seat.

The people behind those wallet logins are the gate for approvals. Choose them with care.

Pick who holds wallet access before the first payment

Bancoli’s own team setup guide is clear on one point. Choosing the wallet identity is hard to change later for daily operations. So decide before you turn the wallet on.

Most teams fit one of three patterns.

Pattern How it works Good fit Watch out for
A. A small wallet team One or two named people hold the wallet logins and approve moves Most companies Plan cover for vacations and leave. Write down who takes over.
B. Shared company logins Wallet logins belong to company accounts, not personal ones, and several people can use them When several people must start payments without the founder More people means more care with access
C. Founder only, personal logins Only the owner’s personal accounts open the wallet Solo operators only Avoid for teams. If the founder is away, nobody can approve.

Bancoli’s guide recommends pattern A for most teams. Use pattern B only when several people truly need to start transfers. Avoid pattern C if anyone besides the founder must pay suppliers.

A simple setup checklist

Use this before real money moves.

  • Confirm your account is ready. Verification must be enough for wallet setup on your plan and location.
  • Choose your pattern (A or B for teams) before the owner starts setup.
  • Use company accounts for wallet logins when more than one person must approve.
  • Turn on MFA or a passkey for every person who will approve.
  • Write it down. Record who holds wallet access, who may approve, and who takes over if someone leaves.
  • Run a small test. Have each approver complete one low-value approved action before real payment volume.
  • Brief the team. A Bancoli login is not the same as approval rights.

Protect the logins behind your wallet

Your wallet logins are now part of how your business moves money. Treat them like any treasury login.

  • Use strong MFA. Passkeys or an authenticator app are better than text-message codes.
  • Keep a backup sign-in method, stored in a different place from the main one.
  • Use a company-owned backup email and phone number, not a personal phone that may leave with an employee.
  • Never share login details in chat or email.
  • If one of your wallet logins is a Google account, Bancoli recommends Google’s free Advanced Protection program. Try it with one person first, then roll it out to the rest.

Bancoli also recommends turning on MFA for your Bancoli account itself, even on the free plan.

This matters for a simple reason. Bancoli’s terms say your business is responsible for its own internal controls against invoice fraud and social engineering. Good login habits are a big part of those controls.

Common mistakes to avoid

  • Setting up the wallet with a personal email when finance must pay without the owner present.
  • Assuming every Bancoli seat can approve payments.
  • Relying on text-message codes to protect a wallet login.
  • Keeping MFA on one phone with no backup.
  • Waiting until the first large supplier payment to find out only one person can approve.

What your team sees day to day

Once access is set, the work feels like a normal account.

  • Smart USD shows one combined balance of your eligible USDC, USDi, and USDT. It is a view, not a separate account. It is not a deposit and it is not FDIC-insured.
  • Approvals come from the people with wallet access, using MFA or a passkey.
  • Rails like ACH, RTP, US domestic wire and stablecoins still matter where your account is eligible.
  • Supplier payouts in local currency can follow the same approve habit where your dashboard shows an eligible corridor. See Get Paid in USDC, Pay Suppliers in Local Currency.

Features can still depend on your plan, verification status, and location. Your Bancoli dashboard shows what is enabled for your account.

FAQ

Can everyone with a Bancoli login approve payments?

No. A Bancoli login gives access to the dashboard and features. Only people with wallet access can approve moves of Smart Wallet funds, using MFA or a passkey.

How many logins does wallet access use?

At least two social logins over SSO. You choose them from Google, Apple, X, or Telegram during wallet setup.

Should the wallet logins match my Bancoli business login?

They do not have to. It is better if they are different, so one compromised login does not open everything.

Who should hold wallet access in a small company?

Most teams do best with one or two named people using company accounts, plus a written plan for who covers when they are away. Avoid a setup where only the founder’s personal accounts can approve.

Does Bancoli own or control the money in my Smart USD Wallet?

No. You control your funds. Bancoli does not own or control them. Bancoli is a chartered bank and a fintech in one. It provides the dashboard, compliance steps, and feature access. Your approvals still come from your own wallet logins.

Is my Smart USD balance a bank deposit?

No. Smart USD is a combined view of eligible USDC, USDi, and USDT. It is not a deposit account, and it is not FDIC-insured to you.

What happens if someone with wallet access leaves the company?

Plan for this before it happens. Use company accounts and keep a written handover plan.

Do I need an API to use Smart USD Wallet?

No. Smart USD Wallet is the mainstream path, and FX is built in without an API. Enterprise teams that need an API can look at the Global Business Account as a separate tier.
